Minimum Requirement
|
Comfortable working with computers; experience with Windows, Word, Excel, some database programs. Valid MA driver's license with access to a car on an occasional basis to attend off-site meetings. Ability to provide onsite registration/event management support at approximately 7-8 in-state weekday evening, early morning meetings per year, as well as multiple virtual or off-site early morning or business day committee meetings per year.
Minimum 5 years experience

Expected Meeting Attendance:
|
- Regularly attend Board of Directors meetings as scheduled (about 12/year)
- Assist with organization, logistics and attendance at Board/Comm/Forum planning session(s)
- Coordinate Zoom logistics and attend certain committee/forum meetings including Leadership Education Committee, Membership Committee

Duties
|
Under the supervision of the ACEC/MA Executive Director:
Administration:
- Manage ACEC/MA related inquiries by phone, mail, email, and fax.
- Maintain and update committees meeting schedules on web calendar.
- Collect committee work plans and update committee member rosters.
- Field and service, as appropriate, member questions and requests.
- Coordinate with other TECET staff on ACEC/MA projects.
Awards Committee – Engineering Excellence Awards competition and related awards
- Attend all Awards Committee meetings.
- Working with Board and Awards Committee, develop budget and coordinate overall promotion and logistics of the Awards along with the annual EEA Awards Gala
- Working with Board and Awards Committee, coordinate QBS Awards program and entries for such local and ACEC National awards as the Community Service Award, Award of Merit, Young Professional of the Year.
Communications/Website
- Write and/or edit copy for communications sent to membership through ACEC/MAtters, Insights, other email and social media messages.
- Prepare weekly email list for ACEC/MAtters
- Attend Communications Committee meetings
- Coordinate web publication of ACEC/MA Insights with co-editors
Government Affairs:
- Assist with the development of testimony and communications to the legislature, executive branch agencies and quasi-public authorities as appropriate.
- Assist with grassroots advocacy programs
Leadership Education:
- Working with Board and Committee, develop budget and coordinate overall promotion and logistics of The Odyssey program, Effective Writing Program (2x/year), Everest – Senior Leadership Roundtable (2x/year), Genesis (2x/year), When Words Matter and such other programs developed by association.
- Backup to Membership Associate to receive and handle all phone, fax, email, website and mail-in membership inquiries.
- Maintain promotional materials for prospective new members.
- Develop prospective member dues quotes as necessary.
- Maintain membership database making changes to membership records when requested.
- Prepare all dues invoicing for ACEC/MA (including all subsequent notices),
- Oversee processing of all dues revenue;
- Oversee processing of new and potential member information, kits, correspondence;
- Coordinate and oversee membership initiative programs;
- Develop new informational reports for membership data;
- Provide membership rosters, special reports and support regarding membership activity of the association as requested by Membership Committee.
- Attend Membership Committee meetings.
- Prepare annual membership certification to member firms requesting information to aid in the generation of dues invoices; working with membership associated, update this information in database.
- Coordinate with ACEC National for dues invoicing; reconcile on a quarterly basis dues paid and money to be transferred to ACEC National for dues and minuteman donations.
- Update ACEC/MA website with new member information.
Program Committee:
- Attend up to 12 Program Committee meetings per year.
- Working with Board or Committee, develop budget projections and coordinate overall promotion and logistics for app. 8 paid events that may be in person or virtual.
- Promote and manage annual corporate and individual program sponsorship programs.
ACEC/MA Education Corporation, separate 501( c ) 3:
- Scholarships: preparation, adaption and promotion of scholarship program convene a scholarship committee to offer at least one annual scholarship to a high school student entering an engineering or land surveying program.
- Fundraising: Coordination of golf tournament and other fundraising programs
